Every industrial chemical comes with a Safety Data Sheet — a standardized document that contains everything your team needs to handle, store, and respond to emergencies involving that chemical. Under OSHA's Hazard Communication Standard (HazCom 2012), all SDS documents follow the Globally Harmonized System (GHS) format with 16 standardized sections.
The problem is that most SDS documents are dense, technical, and written for regulatory compliance rather than readability. Many workers and even supervisors know the SDS exists but are not confident they could find the information they need quickly in an emergency.
This guide walks through all 16 sections and explains what each one means for your team's day-to-day operations and emergency response.
Why the SDS Matters
The SDS is not just a regulatory checkbox. It is the primary source of truth for:
- What hazards a chemical presents
- What PPE is required to handle it safely
- What to do if someone is exposed
- How to store it safely and what it must be kept away from
- What to do in a spill or fire
- How to dispose of it legally
OSHA requires that SDS documents be immediately accessible to employees during all work shifts. That means in the work area — not locked in an office or on a password-protected computer.
The 16 GHS SDS Sections
Section 1: Identification
What it contains: Product name, recommended uses, supplier contact information, and emergency phone number.
What to look for: The emergency phone number. In a chemical emergency, this is the first number to call — it connects to a 24-hour emergency response service (commonly CHEMTREC at 1-800-424-9300) staffed by chemical safety specialists who can advise first responders.
Also note the "recommended uses" and "uses advised against" — these define the intended application and flag uses the manufacturer has not validated for safety.
Section 2: Hazard Identification
What it contains: GHS hazard classification, signal word (Danger or Warning), hazard statements, precautionary statements, and hazard pictograms.
What to look for: The signal word tells you the severity tier — "Danger" indicates more severe hazards than "Warning." The hazard statements describe the specific hazards (e.g., "Flammable liquid and vapor," "Causes serious eye damage," "May cause cancer"). The precautionary statements tell you what to do — prevention, response, storage, and disposal.
The GHS pictograms are standardized symbols:
- Flame — flammable
- Exclamation mark — irritant, harmful
- Skull and crossbones — acute toxicity
- Corrosion — skin/eye corrosion, metal corrosion
- Health hazard — carcinogen, respiratory sensitizer, reproductive toxicity
- Environment — aquatic toxicity
- Exploding bomb — explosive
- Oxidizer — oxidizing chemicals
- Gas cylinder — compressed gas
Section 3: Composition / Information on Ingredients
What it contains: Chemical identity (name, CAS number, molecular formula) and, for mixtures, the identity and concentration of hazardous components.
What to look for: The CAS (Chemical Abstracts Service) registry number is the definitive identifier for a chemical — more reliable than trade names, which vary by supplier. If you need to verify you received the correct product, match the CAS number on the SDS to the CAS number on the certificate of analysis.
For mixtures, note which components are present above the threshold for disclosure (typically 1%, or 0.1% for carcinogens). The hazards of a mixture are driven by its components.
Section 4: First Aid Measures
What it contains: First aid instructions for each exposure route — inhalation, skin contact, eye contact, and ingestion.
What to look for: Route-specific instructions. The response to skin contact with hydrofluoric acid is very different from the response to skin contact with isopropyl alcohol. Do not assume the same first aid applies to all chemicals.
Note whether the SDS calls for immediate medical attention. Some chemicals — hydrofluoric acid, cyanide compounds, certain organophosphates — require specific antidotes or treatments that emergency responders need to know about immediately.
Section 5: Fire-Fighting Measures
What it contains: Suitable and unsuitable extinguishing media, specific hazards from combustion, and special protective equipment for firefighters.
What to look for: Unsuitable extinguishing media. Water is not appropriate for all chemical fires — some chemicals react violently with water (concentrated sulfuric acid, sodium metal), and water can spread flammable liquid fires. Know what extinguisher type is required before a fire starts.
Also note combustion products. Many solvents produce toxic gases when burned — toluene and xylene produce carbon monoxide; chlorinated solvents like methylene chloride and perchloroethylene produce phosgene and hydrogen chloride. This information is critical for firefighters and for facility emergency planning.
Section 6: Accidental Release Measures
What it contains: Personal precautions, protective equipment, emergency procedures, and cleanup methods for spills and releases.
What to look for: The distinction between small spills (handled by trained facility personnel) and large spills (may require evacuation and emergency response). The SDS will specify whether the spill area should be ventilated, whether ignition sources must be eliminated, and what absorbent materials are appropriate.
Note incompatible absorbents. Oxidizing acids should not be absorbed with organic materials (sawdust, paper) — use inorganic absorbents like vermiculite or dry sand.
Section 7: Handling and Storage
What it contains: Precautions for safe handling, conditions for safe storage, and incompatible materials.
What to look for: Storage temperature limits, incompatible materials (what the chemical must be kept away from), and ventilation requirements. This section is the foundation of your storage segregation plan.
Pay particular attention to the incompatibilities list. Storing a chemical near an incompatible material — even without a spill — can create hazardous vapor mixtures or accelerate degradation.
Section 8: Exposure Controls / Personal Protection
What it contains: Occupational exposure limits (OELs), engineering controls, and PPE requirements.
What to look for: The OSHA Permissible Exposure Limit (PEL) and ACGIH Threshold Limit Value (TLV) — these are the airborne concentration limits for worker exposure. If your facility uses the chemical in significant quantities, air monitoring may be required to verify exposures stay below these limits.
The PPE section specifies glove material, eye protection type, respiratory protection, and skin protection. Glove material matters — nitrile gloves that protect against many solvents offer little protection against ketones like MEK or acetone. Always verify glove compatibility with the specific chemical.
Section 9: Physical and Chemical Properties
What it contains: Appearance, odor, pH, boiling point, flash point, flammability limits, vapor pressure, vapor density, solubility, and other physical properties.
What to look for:
- Flash point — the lowest temperature at which the chemical produces enough vapor to ignite. Chemicals with flash points below 100°F (38°C) are flammable liquids requiring special storage and handling. Chemicals with flash points below 73°F (23°C) are highly flammable.
- Vapor density — values greater than 1 mean the vapor is heavier than air and will accumulate in low areas (floor level, pits, drains). This is critical for ventilation design and spill response.
- Vapor pressure — higher vapor pressure means more evaporative emissions at a given temperature. Important for VOC compliance calculations.
- Lower and Upper Explosive Limits (LEL/UEL) — the concentration range in air at which the vapor can ignite. Ventilation systems are typically designed to keep vapor concentrations below 25% of the LEL.
Section 10: Stability and Reactivity
What it contains: Chemical stability, conditions to avoid, incompatible materials, and hazardous decomposition products.
What to look for: Conditions that cause decomposition or dangerous reactions — heat, light, moisture, air, or contact with specific materials. Some chemicals are shock-sensitive or peroxide-forming (certain ethers, including tetrahydrofuran, can form explosive peroxides on long storage). The SDS will flag these hazards.
Section 11: Toxicological Information
What it contains: Acute toxicity data (LD50, LC50), skin and eye irritation data, sensitization, carcinogenicity, reproductive toxicity, and target organ effects.
What to look for: The LD50 (lethal dose for 50% of test animals) gives a rough sense of acute toxicity — lower values mean more acutely toxic. More practically, note whether the chemical is classified as a carcinogen (IARC Group 1 or 2A, NTP "known" or "reasonably anticipated"), a reproductive toxin, or a respiratory sensitizer. These classifications drive long-term exposure controls and medical surveillance requirements.
Section 12: Ecological Information
What it contains: Aquatic toxicity, persistence, bioaccumulation potential, and soil mobility.
What to look for: Aquatic toxicity classification and persistence. Chemicals that are acutely toxic to aquatic organisms and persistent in the environment require extra care to prevent spills from reaching storm drains, waterways, or soil. This section informs your spill response plan and secondary containment requirements.
Section 13: Disposal Considerations
What it contains: Waste disposal methods and regulatory requirements.
What to look for: Whether the chemical is a RCRA hazardous waste when disposed. Many industrial solvents are listed hazardous wastes (F-listed solvents include MEK, toluene, xylene, methanol, and others) — disposal requires a licensed hazardous waste contractor and proper manifesting. Disposing of listed hazardous waste as ordinary trash or down the drain is a serious federal violation.
Section 14: Transport Information
What it contains: UN number, proper shipping name, hazard class, packing group, and special precautions for transport.
What to look for: The UN number and hazard class are required on shipping labels and placards for DOT-regulated quantities. If your facility ships chemicals — even in small quantities — verify that your shipping documentation matches the SDS transport information.
Section 15: Regulatory Information
What it contains: Safety, health, and environmental regulations specific to the chemical — SARA Title III, CERCLA, TSCA, state regulations.
What to look for: SARA Section 302 Extremely Hazardous Substances (EHS) listing and SARA Section 313 Toxic Release Inventory (TRI) reporting requirements. If a chemical appears on these lists and your facility uses it above threshold quantities, specific reporting obligations apply.
Also check for TSCA restrictions — some chemicals have use restrictions or reporting requirements under the Toxic Substances Control Act.
Section 16: Other Information
What it contains: Revision date, changes from previous version, and any additional information the manufacturer includes.
What to look for: The revision date. SDS documents are updated when new hazard information becomes available. If your SDS is more than a few years old, request a current version from your supplier. Texas-Chem provides current SDS documents with every shipment and on request.
